Tax-ID, Tax Number, and VAT-ID: Differences Explained Simply

The world of taxes can be overwhelming, especially when it comes to the various identification numbers that are important for businesses and freelancers in Germany. In this article, we explain the differences between Tax-ID, Tax Number, VAT-ID, Business-ID, and Small Business Identification Number (KU-ID). This will give you a clear overview of which numbers you need and what they are used for.

What is the Tax-ID?

The Tax-ID, also known as the tax identification number (IdNr. or Tax-ID), consists of 11 digits and is a personal number. It is issued by the Federal Central Tax Office and is valid for a lifetime. This number is used for personal identification in tax matters and remains valid regardless of changes in residence or name.

What is the Tax Number?

The Tax Number consists of 10 to 11 digits, usually separated by two slashes. It is issued by your local tax office. It is important to know that you may have multiple tax numbers if you are employed and also working self-employed. The Tax Number is necessary to fulfill your tax obligations correctly.

What is the VAT-ID?

The VAT-ID (VAT Identification Number, USt-IdNr.) begins with the EU country code “DE” for Germany, followed by up to 12 digits. This number is issued in addition to the Tax Number for entrepreneurs who are engaged in commercial or freelance activities. It can be applied for at the Federal Central Tax Office but can also be requested directly when registering with the tax office in the “Questionnaire for Tax Registration.”

What is the Purpose of the VAT-ID?

The VAT-ID is particularly important for conducting business transactions between companies in different countries of the European Union. It serves to demonstrate the business status to other companies and ensures that the parties involved are not private individuals. Many online marketplaces also require their sellers to provide a VAT-ID. An interesting point is that even entrepreneurs who take advantage of the small entrepreneur regulation can obtain and use a VAT-ID without losing their status.

Business-ID: The New Identification Number

Starting November 2024, the Business-ID (Business Identification Number, W-IdNr.) will be issued gradually without application by the Federal Central Tax Office. The W-IdNr. consists of the initial letters DE and 9 digits, matching the format of the VAT-ID. The Business-ID primarily serves the tax authorities for identifying economic activities. It is important to emphasize that previous identification numbers such as Tax-ID, Tax Number, and VAT-ID will continue to exist alongside the W-IdNr. Entrepreneurs who use the small entrepreneur regulation will also receive a Business-ID without losing their small business status. For more information about the Business-ID, you can refer to the FAQs of the Federal Central Tax Office or contact the Chamber of Commerce and Industry.

European Small Entrepreneur Identification Number (KU-ID) Starting January 2025, the Small Entrepreneur Identification Number (KU-ID) will be issued by the Federal Central Tax Office. This number is intended for entrepreneurs who wish to apply the European Small Entrepreneur Regulation. The European Small Entrepreneur Regulation is a simplification rule for companies with up to 100,000 euros net total sales in the EU abroad – in the previous year and the current year. To take advantage of the European Small Entrepreneur Regulation, a KU-ID is required. Participating in this regulation comes with various obligations, including quarterly reporting of your sales to the Federal Central Tax Office.
